This Privacy Policy explains how Drmeets collects, uses, shares, and protects your personal information when you use our platform.

1. Introduction

This Privacy Policy is published by Aetronomic Overseas Pvt Ltd, operating the Drmeets platform (“Drmeets”, “we”, “us”), in accordance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023. It describes our practices with respect to personal data collected through the Drmeets website, mobile experience, and related services (the “Platform”).

By using the Platform, you consent to the collection, use, and disclosure of your information as described in this Policy. This Policy should be read together with our Terms & Conditions.

2. Scope

This Policy applies to Doctors, Medical Representatives (MRs), onboarding agents, and any other individual who registers for or interacts with the Platform. It does not apply to third-party websites or services that may be linked from the Platform, which are governed by their own privacy policies.

3. Information We Collect

3.1 Account & registration data

Name, phone number, email address, city/location, specialty (for Doctors), organization/company (for MRs), password (stored in hashed form), and profile photograph.

3.2 KYC & verification data

To activate your account and enable payouts, we collect government identity documents (such as Aadhaar number and PAN), medical registration or professional license details, bank account number and IFSC code, and supporting document images/scans. This information may qualify as “sensitive personal data” under Indian law and is collected only with your consent and used strictly for verification, compliance, and payout purposes.

3.3 Meeting & usage data

Booking and scheduling details, Meeting timestamps and duration, Credit balance and transaction history, call quality and connection metadata, and — where a Meeting is recorded — the audio/video recording itself.

3.4 Device & technical data

IP address, browser and device type, operating system, log data, and cookies or similar identifiers collected automatically when you use the Platform.

3.5 Communications

Records of your correspondence with our support team, feedback, ratings, and reviews submitted through the Platform.

4. How We Use Your Information

We use the information we collect to:

  • create and administer your account and verify your identity/credentials through KYC;
  • facilitate scheduling, billing, and conduct of Meetings between Doctors and MRs;
  • process payments, Credit purchases, and Doctor payouts;
  • provide customer support and respond to your requests;
  • maintain platform safety, prevent fraud, and enforce our Terms & Conditions;
  • send transactional notifications (booking confirmations, reminders, receipts) and, where you consent, product updates;
  • analyze usage to improve the reliability and performance of the Platform; and
  • comply with applicable legal, regulatory, and tax obligations.

5. Legal Basis for Processing

We process your personal data on the basis of your consent (for example, when you register or accept a Meeting recording notice), the performance of our contract with you (to provide the Platform and process payments), and our legitimate interests in operating a safe and reliable service, as well as to comply with applicable legal obligations such as KYC, tax, and record-keeping requirements.

6. Video Meetings & Recording

Meetings are conducted using encrypted, third-party video-calling infrastructure. Meetings may be recorded for quality assurance, dispute resolution, safety, and compliance purposes; you are notified of this before joining a Meeting and your participation constitutes consent to recording. Recordings and call metadata are stored securely and accessed only by authorized personnel for the purposes described in this Policy, and are retained in line with Section 8.

7. How We Share Information

We share personal data only as necessary, including with:

  • Your Meeting counterpart: a Doctor and MR necessarily see certain profile information about one another (name, specialty/organization, availability) to conduct a Meeting.
  • Service providers: infrastructure and technology partners that provide video-calling, cloud hosting, authentication and push notifications, analytics, and payment processing on our behalf, under contractual confidentiality and data-protection obligations.
  • Onboarding & verification agents: personnel who assist with in-person or remote KYC collection and review.
  • Legal & regulatory authorities: where required to comply with law, legal process, or to protect the rights, safety, or property of Drmeets, our Users, or the public.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to the transferee agreeing to honor this Policy.

We do not sell your personal data to third parties.

8. Data Retention

We retain personal data for as long as your account is active and as necessary to provide the Platform, comply with our legal, tax, and regulatory obligations (including KYC record-keeping requirements), resolve disputes, and enforce our agreements. Meeting recordings and transaction records are retained for a limited period sufficient for the quality-assurance, compliance, and dispute-resolution purposes described above, after which they are securely deleted or anonymized, unless a longer period is required by law.

9. Data Security

We implement reasonable technical and organizational safeguards — including encryption in transit, access controls, and restricted internal access to sensitive personal data — designed to protect your information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your Rights & Choices

Subject to applicable law, you may:

  • request access to, or a copy of, the personal data we hold about you;
  • request correction of inaccurate or incomplete data;
  • withdraw previously given consent (which may limit or prevent your ability to use the Platform);
  • request deletion of your account and associated personal data, subject to our legal and regulatory retention obligations; and
  • opt out of non-essential marketing communications at any time using the unsubscribe option or by contacting us.

11. Cookies & Similar Technologies

We use cookies and similar technologies (such as local storage and device identifiers) to keep you signed in, remember your preferences, and understand how the Platform is used. You can control cookies through your browser settings; disabling cookies may affect the functionality of the Platform.

12. Children’s Privacy

The Platform is intended solely for licensed medical practitioners and professional MRs and is not directed to, and must not be used by, individuals under 18 years of age. We do not knowingly collect personal data from minors. If we become aware that we have inadvertently collected such data, we will take steps to delete it.

13. International Data Transfers

Some of our infrastructure and service providers may process or store data on servers located outside India. Where this occurs, we require that such providers apply data-protection safeguards consistent with this Policy and applicable Indian law.

Continued use of the Platform after changes take effect constitutes acceptance of the revised Policy.
